Privacy statement Vrienden op de Fiets

Stichting Vrienden op de Fiets takes your privacy seriously. We process and use personal data securely and act in accordance with the Dutch Data Protection Act, and from May 2018 with the new AVG.

To ensure that the information in this privacy notice is as clear as possible to you, we have chosen to avoid as much unintelligible legal language as possible.

What is Vrienden op de Fiets?

Vrienden op de Fiets is a foundation that promotes multi-day cycling and walking, focusing mainly on the Netherlands. To this end, we maintain a network of accommodation addresses where you can stay at people's homes at a reasonable rate. This network is only accessible to Friends who pay an annual contribution. Gueast Addresses pay nothing for their listing.

What information is collected and processed by Vrienden op de Fiets?
To make use of the (online) platform of Vrienden op de Fiets, you create a profile. Of these, we have two types: Friend and Guest Address.

Friend

When you register as a 'Friend', you are a 'member' of our community.

We need your name, address, IBAN/bank account and e-mail address to send you the booklet and personal pass, to give you online access and to arrange payment of the annual contribution. Before becoming a Friend, you agree to the Ground rules for Friends.

Lodging address

To properly represent your Guest Address in the annual booklet and online, we ask for your name, address, e-mail address, and a number of characteristics of your stay, such as number of rooms, number of beds, use of bicycle storage, etc. A number of characteristics are mandatory to prevent Friends from seeing 'empty' or unclear information about your address. As a Guest Address, you agree to the Ground rules for Guest Addresses.

Providing an e-mail address is mandatory because the foundation wants to communicate via e-mail as much as possible for cost and environmental reasons. To contact you in case of emergency, we also ask for your phone number.

Email and newsletters

Vrienden op de Fiets aims to keep costs as low as possible, so the platform remains accessible to all. Moreover, we are environmentally friendly. Therefore, in principle, we do not send home-delivered mail. However, to keep the network running smoothly - and preferably even better - it is sometimes necessary.

New Friends receive from us the booklet/address guide with the Guest Addresses
for that year, the route map and the Friends card.
Don't use this booklet? Then tick in your profile that you no longer wish to receive it.

Friends receive e-mail messages from us with service information and service announcements up to three times a year. This does not contain any commercial messages. Don't want to receive this information either? Then unsubscribe online in your profile.

Guest Addresses receive a welcome pack by post upon registration. After that, we send them a emailing about twice a year. Should you wish to forgo post or e-mail for special reasons? Please contact the Help Desk.

What are cookies and how does Vrienden op de Fiets use them?

Cookies are small text files that a website can store on a visitor's computer. In these files, information about the visit to the site is stored. Vrienden op de Fiets does not collect cookies, except for the use of Google Analytics. This software helps the foundation see how many people visit the site and which pages are (or are not) favorites. With the help of this information, we try to make our site more informative and user-friendly. Good to know that all IP addresses are anonymous and that no data is shared with Google. Therefore, you do not have to agree to a cookie statement either.

For what purposes does Vrienden op de Fiets collect information about you?

The data we collect and store about you is only used to provide you with the service you have requested. Vrienden op de Fiets does not sell data, ever, to anyone. Nor do we use your data for third-party marketing services such as Facebook.

There is one exception
Guest Addresses in the Netherlands that explicitly give permission will be visible as Point of Interest (POI) in the Cycling Route Planner of our partner the Dutch Cyclists' union. In this way, as a Guest Address you can also be found by cyclists using this route planner.

How does Vrienden op de Fiets protect your personal information?

Vrienden op de Fiets takes appropriate technical and organisational measures to protect your (personal) data against loss or against any form of unlawful processing.

No one can access the databases without the necessary login details.

Passwords are mandatory but are not stored by Vrienden op de Fiets.

Our site is secured with a lock (HTTPS), so unauthorised persons cannot simply access the data. Our IT supplier is certified with ISO 27001.

To ensure that Vrienden op de Fiets always acts in accordance with Dutch legal privacy regulations and the protection of your data, we have engaged a Data Protection Officer. This officer is available on call.

Who has access to your data?

Apart from the employees of Vrienden op de Fiets and the organisations we cooperate with regarding IT, website and distribution of the booklet, nobody has access to your data. We have, if necessary, concluded a processing agreement with these third parties that lays down rules on the handling and protection of these data.

Inspection, modification, correction or deletion of your data

You have the right to know what data Vrienden op de Fiets has recorded about you. You can access them 24 hours a day in your personal environment (My profile). You can also change your data here at any time. If for some reason this does not work, please contact the Help Desk, they will help you. This may take a few days.

You can cancel your account yourself online or contact the helpdesk. Your personal information is then immediately placed in a digital archive. The retention period is 14 months. Should you decide to use our services again after cancellation within this time, we can easily reactivate your account. After that period, we only keep your Friend number or Registration number and your country of origin. We only use these for keeping track of our statistics.

However, Vrienden op de Fiets may provide your data to third parties if we are obliged to do so on the basis of legislation and/or regulations, as a result of legal proceedings and/or in case we deem it necessary to protect our own rights. In this case, we will inform you as soon as possible.

In order to ensure that the information in this privacy statement is at all times up-to-date and in line with current legislation, Vrienden op de Fiets may amend it at any time.
